Introduction

This privacy notice explains the types of personal data we may collect about you when you interact with us. It also explains how we will store, handle and destroy that data. It also gives reasons for processing your data and how to unsubscribe.

We are committed to protecting and respecting your privacy, therefore this privacy policy will be reviewed and updated regularly. If there are significant changes we will notify you. However a copy of the most up to date privacy policy will always be available at the clinic for you to check if you wish.

Mid Sussex Veterinary Clinic is an independent veterinary clinic. We are not associated with or owned by any other business or clinic. Our practice principal is Dr Marie Arkell MRCVS.

 

What personal data we collect and why we collect it


Why we need your data and what we do with it?

When collecting your personal data, we will always make it clear to you why we are collecting the data and for what purpose. Basic personal data we may need from you includes:

  • Full name
  • Contact information including full address, telephone numbers and email address
  • Any other information that may help us to provide the best care to you and your pets.

We need your basic personal data in order to provide your animals with veterinary treatment. We will not collect any personal data from you that we do not need in order to provide these services to you.

We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so.

There will be times where we share your information securely with other companies:

  • Insurance Companies
  • Laboratories
  • Referral Practices
  • Other 1st opinion veterinary practices at your request
  • Pet Cremation services
  • Premier Vet Alliance (Pet Care Plan provider)

We do send treatment reminders for booster vaccinations, these are in the interest of your pet and do not require consent. However you can opt out of receiving them.

We are committed to ensuring that the data we collect about you is stored securely.

  • Our practice management system ‘Teleos’ securely holds the information and is only accessed by trained members of staff who each have a password to access the system.
  • Any information contained in documents including signed consent forms, are all securely stored for the required retention period.


We do not collect personal data via our website.

We do not currently allow visitors to leave comments on the site or upload images.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

How long we retain your data

All documentation relating to your pets care will be held for a period of 7 years.

All electronic data will be retained for a period of 7 years. Clients that have not had an animal under our care for a period of 7 years will have their data anonymised.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

You have a choice about the type of information you receive from us. As a client of our services, you understand and agree that personal information you provide will be held on a database operated by us and we will contact you about your pet’s treatment using your preferred method of communication.

You have the right to access information held about you. If you wish to see a copy of your data, please contact us. We will provide this data within a few days (not exceeding one month).

You have the right to request the movement of your data from one surgery to another. We will only transfer data to another surgery with your consent.

The accuracy of your information is important to us. If you change email address, or any of the other information we hold is inaccurate or out of date, please let us know.

We will only send you direct marketing communications by email, phone or text message about new products and services if you have consented to receive them. We will ask you to confirm your consent to receive direct marketing when you first register with us and then at yearly intervals.

Additional information

At our Veterinary Practice we keep appropriate data to allow us to communicate with our clients, keep a record of visits  and schedule routine treatments for clients pets.

We will retain on our database details you provide about yourself. These details may be used to send you information about MSVC services and other information.

We protect your personal data by storing it in an area of our network which is protected by a firewall. The purpose of this is to ensure that there is no unauthorised access or improper use of your data.

We do not pass on any of your data to third parties for any purpose.

If there is a change in your personal details or you do not wish to receive any information from us please communicate this to us.
